What Call Catchback does

Call Catchback provides business-phone and customer-conversation tools for participating businesses. Depending on the features a business enables, a business number may ring the owner's existing phone and Call Catchback may assist with unanswered or selected calls, business texting, customer questions, service-request details, owner handoff, and appointment coordination.

Business inquiry information

When a business starts founding setup, we may collect business name, contact name, business email, business phone, an optional public business website, and information the applicant later chooses to provide during setup. If a website is supplied, Call Catchback may read its public pages to prefill business details such as hours, services, address, contact information, and basic receptionist knowledge for the owner to review. Do not submit customer lists, passwords, tax identifiers, medical information, or other sensitive records through the public signup form.

Caller and customer information

For an activated client, Call Catchback may process caller phone numbers, call timing and routing information, call status, text messages, AI-assisted conversation content, delivery status, opt-out status, and limited service-request details such as the help requested, timing, city/ZIP, customer questions, appointment status, and owner-confirmed commercial outcomes. For service and Aftercare workflows, participating businesses may also save customer email and service-address information, equipment or work details, model and serial numbers, warranty and maintenance dates, technician-selected Aftercare instructions, receipts or PDFs, and job photos the business chooses to attach. If AI Voice is enabled, the service may also process call audio or transcripts as necessary to operate the selected voice workflow and as disclosed during activation. Clients should not use the standard service for healthcare, financial, legal, or other workflows likely to involve highly sensitive personal information without separate review.

Why information is processed

Information is used to provide the selected business-phone and assistant features, prevent duplicate or unwanted messaging, route legitimate customer conversations to the participating business, preserve conversation context, coordinate appointments and estimates, identify unfinished calls or open estimates that may deserve review, document completed work, deliver customer-requested or technician-approved Aftercare records, retain warranty and maintenance information, secure and troubleshoot the service, measure performance, administer membership and usage billing, and comply with provider or legal requirements. Revenue Recovery imports are intended to create reviewable business records; importing an old-estimate file does not by itself authorize or trigger customer outreach.

App permissions, files, and diagnostics

The iPhone app requests access only when a feature needs it. Contacts are used when an owner chooses VIP or personal bypass callers; selected calendar data can be used to avoid scheduling conflicts; camera and photo-library access are used when a business chooses to attach job photos; and document access is used when a business chooses a receipt or other supported job file. The app may also collect first-party diagnostic and product-usage information such as sign-in and activity timestamps, app opens, screens or features used, notification receipt/open signals available to the app, transfer and takeover actions, app version, platform, device name or model where the operating system provides it, a Call Catchback-generated installation identifier, IP address observed by our server, browser user-agent information, and error or routing events. We use this information to secure accounts, investigate delivery or call-routing problems, understand whether features are useful, improve the product, manage plan/device limits, and control operating costs. We do not rely on a device MAC address, and IP address alone is not treated as proof that multiple people are sharing an account.

Service providers

Call Catchback may use infrastructure providers for hosting and databases, telecommunications and messaging, AI or voice-processing services, payment processing, and operational email. Those providers process information as necessary to deliver their respective services. Payment card details are handled by Stripe or another disclosed payment processor and are not intended to be stored in Call Catchback application tables.

Text-message choices

Email-based service records and Aftercare do not require customer texting to be enabled. Automated SMS is a separately controlled feature and is not activated unless the participating business has authorized the messaging workflow and required carrier or A2P registration is approved or documented as not required. Recovery or follow-up messages identify the participating business where appropriate and provide an opt-out path. Reply STOP to stop automated texting for that sender/business. HELP provides service information where supported. Standard carrier message and data rates may apply. A durable suppression record may be retained so the system can honor an opt-out.

AI Voice controls

AI Voice is not intended to answer calls for a business until that business selects an applicable answer mode and usage limit and required launch controls are satisfied. Some voice capabilities remain in founding-access rollout. A public description of a planned feature does not mean it is active for every account.

Retention and security

We retain operational records only as reasonably needed for service delivery, customer continuity, billing, dispute resolution, compliance, security, and legitimate business records. Access to Call Catchback operational tables is restricted to authorized processes and users according to the application's access controls; public anonymous database access is not intended for owner/customer records.

Client responsibilities

Participating businesses are responsible for providing accurate business identity, registration, routing, service-area, scheduling, and approved-answer information; using Call Catchback only for appropriate callers and services; and complying with laws and industry rules applicable to their business. Call Catchback does not authorize a client to upload or message purchased or scraped consumer lists through a responsive customer workflow.

Questions or requests

Privacy or communications questions can be directed through the contact information supplied during Call Catchback onboarding or through the participating business whose Call Catchback number or assistant you contacted.

Requirements can vary by jurisdiction, industry, communication type, and client use case. Call Catchback may update this notice as the service and its supported workflows evolve.
